Terms and Conditions

Thank you for choosing Aerobern Travel.

I am here to make your travel planning as smooth and enjoyable as possible.
Please take a few minutes to read through these terms and conditions — they help ensure you are well informed and that your booking is taken care of.


1. Bookings, Quotes & Payments

• All quotes are subject to availability and changes in exchange rates.
• Deposits are non-refundable (unless stated otherwise) and serve to secure your booking.
• The final cost may change depending on the exchange rate on the day of final payment.
• Please make sure the balance is paid by the due date shown on your invoice.
• If payment isn’t received on time, your booking could be cancelled, and supplier cancellation fees may apply.
• All payments are made in South African Rand (ZAR) unless we’ve agreed otherwise.


2. Prices & Currency

• Prices are based on current exchange rates, supplier costs, and taxes.
• If these costs change before full payment is made, your price may be adjusted.
• Once full payment is received, your price is locked in (unless otherwise noted).


3. Cancellations & Amendments

• All cancellations or booking amendments must be made in writing.
• Cancellation or amendment fees are set by each supplier (such as airlines, hotels, or tour companies).
• I’ll always let you know what these terms are at the time of booking.
• If Aerobern assists with a cancellation or amendment, a small admin fee may apply.
• Cancellation and amendment fees will be noted on your final booking – please ensure you understand and take note of these terms.


4. Refunds

• Refunds depend on each supplier’s policy.
• As your travel agent, I will process any eligible refund as soon as I receive it from the supplier.
• Please note: Aerobern’s service fees and commissions are non-refundable.
• Refunds can take several weeks to process depending on the supplier’s timelines.


5. Responsibility & Liability

• Aerobern acts as an agent for suppliers such as airlines, hotels, car hire companies, and tour operators.
• I am not responsible for any errors, actions, or omissions by these suppliers, nor for any loss, injury, or delay caused by them.
• I also cannot be held liable for events beyond my control — including natural disasters, strikes, pandemics, or schedule changes.
• Travellers are responsible for ensuring they have the correct passports, visas, and vaccinations.
• In line with Section 17 of the Consumer Protection Act (CPA), travellers acknowledge that all travel carries some risk, which is accepted at their own discretion.


6. Travel Insurance

• I strongly recommend that all travellers take out comprehensive travel insurance.
• Your policy should cover cancellation, medical emergencies, lost luggage, and personal liability.
• I am happy to provide guidance on available options, but cannot be held responsible if you choose not to take out insurance or if your cover is insufficient.


7. Documentation & Travel Requirements

• Please double-check that all details (names, dates, etc.) are correct before confirming your booking and making payment.
International travel: Passports must be valid for at least 6 months beyond your return date to South Africa, unless a country’s specific entry rules differ.
Domestic travel: Please carry a valid ID. Some airlines and hotels may not accept driver’s licences.
Visas & entry requirements: It’s the traveller’s responsibility to confirm and obtain all necessary visas and entry documents.
Health & vaccination requirements: Please check current requirements for your destination.
• Aerobern cannot be held responsible for losses or costs arising from incorrect information or failure to meet travel requirements.


8. Agency Service Fees

• Aerobern may charge professional or consultation fees for bookings, planning, or changes.
• These fees are separate from supplier charges and are non-refundable once the service has been provided.


9. Protection of Personal Information (POPIA)

• I respect your privacy and fully comply with the Protection of Personal Information Act (POPIA).
• Your personal information is used only to arrange your travel and is shared only with suppliers directly involved in your booking.
• I will never sell or share your details with anyone else without your consent.


10. Compliance

• Aerobern operates in accordance with the Consumer Protection Act (CPA) and IATA guidelines (where applicable).
• I am committed to providing honest, transparent, and accurate information at all times.


11. Acceptance of Terms

By confirming your booking and making payment, you’re letting me know that you’ve read and agreed to these Terms & Conditions.
